Bright from the Start Department of Early Care and Learning IT Administrative Assistant

Position Summary:

The IT Assistant is responsible for a broad range of duties associated with IT support, administrative and clerical tasks. Duties of the IT Assistant include, but are not limited to, IT procurement, asset management, providing support to IT Department leadership and staff, assisting in daily office needs, preparing reports, maintaining appropriate filing and documentations, and managing IT department general activities. Requirements:

Primary Responsibilities

Responsible for credit card purchasing reconciliation and processing
Responsible of IT Purchasing and Inventory responsibilities
Responsible for vendor and contractor relationships for payment, contract and billing inquiries
Support for IT staff onboarding responsibilities related to HR coordination and job postings, grading and candidate rating
Support of tracking asset life-cycle management for IT assets in order to maintain warranty information, refresh date adherence, and end of life data information
Work directly and indirectly with IT staff to maintain asset inventory accuracy
Assist with developing and supporting written plans, policies, and procedures to document the asset management lifecycle
Support IT Asset Administrator by conducting periodic inventory audit and develop process and procedures to ensure continued accuracy and disposal
Help with triaging and redirecting IT Helpdesk calls and/or tickets as needed
Organize, schedule and setup meeting and meeting equipment such as laptop, sound, projector, conference line, meeting room setups.
File, organize, scan and maintain department forms and documents. This includes, but is not limited to, administrative forms, reports, and other IT related documents.
Maintain updated file of inventory of accessories and supplies. Ensure security and distribution of these items according to DECAL policies and procedures.
Act as a point of contact/liaison for external partners/entities/vendors. Maintain updated list of vendors and contractors.
Maintain a record of IT equipment warranty and IT service and software license contracts
Arrange to ensure maintenance and servicing of equipment is done according to contract, and best practice.
Assist with the handling of logistics of transporting hardware, shipping items, mailings, and receiving deliveries.
Assist with coordination and documentation of projects
Assist with deployment of computer equipment that are already configured
Possible weekend projects when necessary.
REQUIRED SKILLS


Minimum of two years work experience in the capacity as an administrative assistant, office administrative support or comparable duties within an IT environment with financial experience
Proficiency with Microsoft Office tools and web-based applications
Ability to multitask in a fast paced environment
Excellent communication skills, both oral and written
Excellent detail oriented, organization, planning and coordination skills required.
Good customer service manner including communication and information dissemination (both verbally and in writing), manners in training and providing support.
Must be able to lift 30 pounds
Ability to analyze and anticipate problems and issues, and prepare for them including communicating such issues and how you will deal with or how the staff should prepare themselves in a timely manner.
Ability to work both independently and as part of a collaborative team and remain calm under pressure
