Description:

we are seeking an Administrative Assistant to provide support to the Chief Technology Officer (CTO) of the Department of Health and Human Services, Information Systems and Technology (IS&T) department. This position will develop and implement program-administrative directives, standards, and processes for assigned Manager(s), and or staff within the departments iServe Project.

This work involves potentially extensive liaison, coordination, and interaction with employees and customers/clients of DHHS IS&T and other governmental agencies, requiring persuasion and motivation to achieve established goals and requirements through these individuals and organizations. The position requires in-depth program- administrative knowledge, where work assignments can include in-depth research and operations/management analysis and project management functions including the development of presentations and proposals in concert with, or at the direction of, the CTO. Work can often involve assessing unusual circumstances or requests, and making decisions that affect individuals, organizations, and processes both inside and outside of IS&T.

Scope of Activities:

The Administrative Assistant will demonstrate competency across the following example scope of activities:

• Represents the immediate supervisor to relay information relative to the assigned program-administrative functions, to resolve directed issues, obtain directed goals, and to secure information for program-administrative decisions.

• Advises CTO staff to respond to concerns and to intercept and/or mitigate adverse reactions, concerns, or pressures.

• Develops and manages the DHHS IS&T CTOs program-administrative function or associated processes, plans, and projects – that could include component work on items such as goals, funding sources, constraints, performance metrics and success criteria, including evaluation and action steps.

• In collaboration with, or at the direction of, the IS&T CTO, drafts and reviews management proposals and presentations; prepares or directs preparation of meeting agendas, minutes, and document archival.

• Plans and coordinates special research and investigative assignments regarding functional and operational problems and issues.

• Monitors correspondence for reply or collects background information and writes appropriate responses to ensure proper disposition of inquiries.

• Monitors IS&T or project progress toward meeting established goals and objectives by compiling, reviewing, and assessing reports and records for the CTO to identify the cause and impact of delays or other problems.

• Monitors budget/grant expenditures for program-administrative functions assigned; reviews and evaluates actual and projected costs and other information pertinent to budgetary/grant requests and coordinates or consolidates action around budget updates.

• Prepares progress reports for program-administrative managers, legislative/budgetary officials, and other federal and State governmental representatives.

• Other duties, as assigned.

Required Credentials and Experience:

• Experience and Ability to: communicate in person, and by telephone, computer, email, and correspondence to exchange information and ideas and to promote DHHS IS&T needs, plans, and objectives; interpret program-administrative requirements, policies, regulations, and other guidelines; interact with immediate supervisor and managers/employees of DHHS IS&T and other governmental representatives to gain their cooperati
