Description : 3.0 SCOPE OF WORK It is seeking proposals from qualified vendors to provide a complete virtual event platform. The successful Offeror will offer a full-service, all-in-one event management platform, including registration. The platform will enable State Agency staff to process, communicate with, and track all event participants, including conference exhibitors, sponsors, and attendees. The proposed solution should be comprehensive system, including a conference site and an event app that can be accessed via desktop, tablet, and mobile devices. The requested platforms and applications must currently exist for immediate application and use upon execution of an agreement. The platform should be cost effective, easy to use, and a one-stop solution that supports each State Agencys conference planning staff and committee, speakers, exhibitors and sponsors, and delegates. This platform should streamline the key conference processes and create a positive experience for all conference participants. The proposed solution should create a seamless experience for attendees, from registration to evaluation, and must be capable of managing all transactions and processes related to the conference, including, but not limited to: a. registration and payment b. speaker profiles, agreements, and presentations c. session selection and access to related resources by delegates d. sponsor/exhibitor profiles e. other delegate resources and capability to communicate with delegates as needed. Offerors interested in providing services may submit a proposal as described in this section of this RFP: a. An Information Technology Solution for a virtual event solution Section 3.2 b. An Information Technology Solution for a hybrid virtual and onsite event solution Section 3.3 c. An Information Technology Solution for an onsite event solution Section 3.4 d. Or respond to any and/or all sections. Offerors must use the table format and maintain numbering provided by the STATE to respond to each item number. Attachments, documents, or samples must be clearly referenced where in the response they can be found in the applicable item number.
